Parts Inventory Template for Maintenance Teams (Free Excel)
Every maintenance team has lived this one: the machine is down, the fix is a £4 bearing, and the bearing isn't in the store. Now a four-hour repair is a three-day wait on a courier, and the downtime bill is a thousand times the part that caused it.
Parts inventory is the unglamorous half of maintenance management — and the half where a simple, honestly-kept spreadsheet beats an expensive system nobody updates. This template is the structure I recommend to teams who aren't ready for full inventory software but are done with guessing what's in the store.

Four sheets: a parts register, a stock movement log, a reorder report, and a stocktake count sheet. Here's how to use each one — and the two habits that make the difference between a parts list and a parts system.
Sheet 1: The Parts Register
One row per part. The columns that matter:
- Part ID — your own code (
PRT-001), because supplier part numbers change and descriptions get typed six different ways. Same discipline as asset IDs in your register. - Location / Bin — "Store A / Bin 12", not "in the store". The register's job is to end searching.
- Qty on hand / Min stock level / Reorder qty — the three numbers that prevent stockouts (more below).
- Supplier, supplier part number, lead time — everything needed to raise the order without research. When the part is urgent, this row is the procedure.
- Used on assets — which assets consume this part (
PUMP-07, CONV-02). This is the column that turns the register from a shopping list into maintenance intelligence: it tells you what a stockout threatens, and which parts to pre-stage for MTTR-critical repairs.
Don't inventory everything. Consumables you can buy same-day from the local factor don't need rows. The register earns its keep on the parts that stop production when they're missing — start with the spares for your critical assets and expand from there.
Sheet 2: The Stock Movement Log
Every issue, receipt, and adjustment gets a line: date, part, in/out, quantity, and — crucially — the work order reference it was used on.
This is the sheet teams skip, and it's why their on-hand counts drift into fiction within a quarter. The rule that works: parts leave the store with a work order reference or they don't leave. It takes ten seconds per movement, and it's also what connects parts cost to assets — after six months you can see that PUMP-07 has quietly eaten £600 in seals, which is exactly the evidence a repair-or-replace decision needs.
Sheet 3: The Reorder Report
A weekly ritual, not a real-time system: filter the register for any part where on-hand ≤ min level, copy those rows here, and work the list — to order → ordered → received.
Weekly is the honest cadence for a spreadsheet. If your operation needs same-day reorder triggers, that's one of the signs you've outgrown the spreadsheet (more below).
Sheet 4: The Stocktake Sheet
Count what's actually in the bins against what the register says, quarterly for critical spares. Two people, an hour, printed sheet. Variances aren't failures — they're the system telling you where the movement log is leaking, usually a night-shift path or a contractor who helps themselves.
Setting Min Stock Levels That Actually Work
The min level isn't a guess — it's a small formula:
Min level = (usage during lead time) + safety margin
If you go through two of a bearing a month and the supplier takes two weeks, you use one during the lead time — so a min of two gives you one order-trigger cushion. For a part that stops a critical asset, add the cost asymmetry: holding one extra £4 bearing versus a day of line-down time isn't a real decision.
Two mistakes to avoid:
- Setting mins on everything. Min levels only mean something if a breach triggers action. Fifty alerts a week means zero alerts a week.
- Never revisiting them. Usage changes as assets age. When the stocktake keeps finding a part at zero, the min is wrong — raise it, don't just reorder faster.
When the Spreadsheet Stops Being Enough
This template holds up well for one store and one keeper of the file. The cracks show in predictable places:
- Multiple people issuing parts — the movement log needs the person holding the file, and technicians at 2am don't update spreadsheets.
- Stock across sites or vans — one register can't answer "is there one in the northern depot?"
- Reorder speed — weekly reorder reviews mean a part can sit below min for six days before anyone acts.
- Parts-to-work-order linking — the spreadsheet records the reference, but it can't show cost per asset without someone building pivot tables monthly.
Those are the same failure modes as every other maintenance spreadsheet: fine at small scale, quietly expensive past it.
