Pilot for larger teams

Switching CMMS is a big decision. Prove it on one site before you make it.

Run AssetOS with 5 to 10 of your people on one site for 90 days. Real assets, real work orders, agreed success criteria. Pay for the pilot up front. If you roll out, the pilot becomes the first three months of your annual plan.

  • One site, 5 to 10 paid seats, 90 days
  • Our team builds it with you and stays on call
  • Pilot fee counts toward the year. Walk away and it’s all you paid

A 14-day trial is fine for a team of eight. It is not how you move 400 people off Maximo.

Larger rollouts fail for reasons a trial never surfaces: the data import that goes sideways, the field team that never opens the app, the compliance report nobody checked. A pilot puts those risks on the table early, with our team in the room, before your whole operation depends on the answer.

How the 90 days run

Four steps. The first one is a conversation, not a contract. Want the week-by-week version and the success criteria we use? Read the pilot guide.

1

Scope call

Pick the site, the 5 to 10 people, and what “working” means. We write the success criteria down together before anything is set up.

2

We build it with you

Your assets, PM schedules and open work orders imported. Field team live on mobile within the first week.

3

90 days on real work

Weekly check-in with the person who built the product. Fix, tune, repeat. Priority support the whole way.

4

Decide with evidence

PM completion, MTTR, time to close a work order, field adoption. Real numbers from your site, not a demo.

What’s included

The fee covers seats. The help is the point.

Assisted import of one site’s assets, schedules and open work orders
5 to 10 paid seats. Unlimited free operator and requester seats, same as always
Written success criteria agreed on the scope call
Weekly 30-minute check-in with a founder or implementation lead
Priority support for the full 90 days
A written pilot report at day 90: what worked, what didn’t, what a full rollout looks like
What it costs

You pay for the pilot. It counts toward the year.

The pilot fee is your seats at the monthly rate for three months. Ten Professional seats is $1,050. For that you get our team building it with you, a weekly check-in, and priority support for 90 days.

Roll out on an annual plan and the pilot becomes months one to three of that plan. You pay the balance, not the whole year again. Annual also unlocks done-for-you migration of your remaining sites and 1,000 free asset tags.

Walk away and the fee is all you paid. No contract, nothing to cancel, and you can export everything.

Who this is for

Good fit

  • 50+ paid seats or 2,000+ assets across several sites
  • A current CMMS or ERP module you are trying to leave
  • A regulated environment where the audit trail is not optional
  • A rollout that needs sign-off from someone who wants evidence, not a demo

Not a fit

One site, under 15 seats. Start the free trial instead. You will be live this afternoon, and it costs nothing.

  • Scope call first. Nothing is set up until the criteria are agreed
  • Fee quoted for your exact seat count and plan
  • No contract, no procurement paperwork to start

Frequently asked questions

Why charge for a pilot at all?

Because free pilots don’t get run. A fee means someone on your side owns the outcome. It’s small enough not to need procurement and large enough to get calendar time.

Do we pay for the pilot twice?

No. If you go annual, the three pilot months are treated as the first three months of your plan, already paid. Your first invoice is the balance for the rest of the year.

What happens to our data if we don’t continue?

It’s yours. Export assets, work orders and history as CSV or PDF at any point. Nothing is held back, and there is nothing to cancel.

Can we pilot with more than 10 people?

Yes. The 5 to 10 range keeps the group small enough to support properly. Tell us on the scope call if you need more and we’ll price it the same way: seats at the monthly rate for three months.

Do operators count toward the 10 seats?

No. Operators and requesters are always free. The pilot seats are for the schedulers and managers who plan work.

What if we need the pilot to run longer?

Extend month to month at the same rate. Whatever you’ve paid still counts toward the annual plan when you go.

How is this different from the free trial?

The trial is self-serve, 14 days, and built for a team that can be live by this afternoon. The pilot is for operations where the switch is a project: one real site, real data, agreed success criteria, and our team on call for 90 days. If you’re under 15 seats on one site, start the trial instead.
